Where to go for help

Our small team provides training and support to nearly 600 system users. To best support our growing user community, we have created a comprehensive range of resources, to enable you to ‘self-help’.

Please access the resources in the order listed below

Our step-by step guidance materials are designed to help you complete system tasks. Please always refer to these resources first, as they will most likely answer your query.

To find what you need:

  1. go to User Support and Guides
  2. navigate to the relevant section; and
  3. identify the ‘I need to…’ statement that fits your scenario. In the 'drop-down', you will find links to all relevant guidance, policy and other useful documentation.

Don’t forget that you can also return to the eLearners at any time, to refresh your knowledge.


In-system support tool coming soon

We will soon be releasing a new digital tool, providing real-time system guidance within PeopleXD. Once live, users will be able to view hints and tips to help with completing particular processes. Further information will be shared in the coming months.


If you still need help, check whether your query has been answered on our FAQs and further help page. We also publish a list of known System Issues, which we are working with our supplier to resolve. 

We encourage you to check these pages regularly, to stay up-to-date with the latest system tips, issues and fixes.

Please do not send requests to individual staff via Teams or email.


If you are unable to reach us by phone, please email your query to hr.systems@admin.ox.ac.uk. We are a small support team so your patience is appreciated. 

You will receive an automated response to confirm that we’ve logged your request.

We reply to emails in priority order, so if you have already contacted us, please be assured that we’ll be in touch as soon as we can.


We aim to respond to emails within one working day. If your request is urgent, we encourage you to:

  • check our online resources whilst you wait; or
  • ask a colleague.

If you are able to resolve the issue at this stage, please contact us to cancel your original request.

1:1 support sessions are aimed at both new and experienced system users.

You are encouraged to book a 1:1 (or team) session if you need help completing a particular system process (eg appointing), or have questions which are not covered on our website. 

To request a session, please send the following information to hris.training@admin.ox.ac.uk

  • Your availability (eg I don’t work Fridays) 
  • Your department (please include the names of your colleagues, if you require a team session) 
  • A brief summary of the support required
